EMI Sales Software: What It Is & How to Choose One
You sold the phone. The customer left happy. Now comes the hard part: collecting twelve monthly payments from someone you saved in your phone as “Rahul AC.” If that sounds familiar, you don’t have a sales problem. You have a tracking problem, and EMI sales software is built to fix it.
This guide covers what EMI sales software does, which features matter, how no-cost EMI really works on the books, and which RBI and data-protection rules to know before you buy. It’s written for shop owners, showroom managers and finance teams in India.

What Is EMI Sales Software?
EMI sales software is a system that records installment sales, tracks each customer’s payment schedule, and automates reminders and collections. It replaces notebooks and spreadsheets with one ledger that shows who owes what, and by when.
Retailers of mobiles, appliances, furniture, two-wheeler accessories, jewellery and coaching programmes use it most. Anyone who lets customers pay over time needs some version of it. Mobile and electronics shops, for example, often pair EMI tracking with GST billing and IMEI tracking, as in Realkeeper’s billing software for mobile shops.
One distinction matters before you shop. EMI sales software is not a lender. Some tools only manage installment plans you offer yourself. Others connect to banks and NBFCs that provide the financing. Know which kind you’re buying, because the risks, costs and rules are different.
Why Do Manual EMI Records Cost Retailers Money?
A spreadsheet works for twenty accounts. At two hundred, it starts lying to you. The losses are quiet, which is why owners miss them:
- Missed due dates.Β Nobody notices a payment is three weeks late until the customer stops answering calls.
- Payment disputes.Β “I paid last month” is hard to argue when receipts live in a drawer.
- No cash-flow view.Β You can’t plan stock purchases if you don’t know what’s due this week and what’s already overdue.
- Staff dependence.Β When the person who kept the register leaves, the knowledge leaves too.
- Calculation errors.Β Manual interest, fee and part-payment math drifts over time.
Software won’t make customers pay. It does make sure you know, early and clearly, when they haven’t.
What Features Should EMI Sales Software Have?
Good EMI sales software should cover the customer ledger, flexible schedules, automated reminders, payment recording, overdue reports, GST-ready billing, staff permissions and data security. Use this table as a vendor checklist.
| Feature | What it should do | Question to ask the vendor |
| Customer and guarantor ledger | One record per customer with ID, address, contacts and purchase history | Can I export all my data at any time? |
| Flexible EMI schedules | Tenure, down payment, interest, processing fee and custom due dates | Does it handle part-payments and early closure? |
| Automated reminders | SMS, WhatsApp or call prompts before and after the due date | Which channels are included, and who pays message costs? |
| Payment recording and receipts | Cash, UPI, cheque or auto-debit, with instant receipts | Does it match payments to dues automatically? |
| Overdue and ageing reports | Who is 7, 30 or 60 days late, filtered by product or salesperson | Can I see this by branch and by staff member? |
| GST-ready billing | Invoices with discount, interest and fee shown separately | Are invoices GST-compliant out of the box? |
| Roles and audit trail | Staff see only what they need; every edit is logged | Can I see who changed a due amount, and when? |
| Security and backup | Encryption, access control and regular backups | Where is data hosted, and what happens after a breach? |
If you can only prioritise three, pick reminders, overdue reports and an audit trail. Those three protect your cash flow and your records. Everything else is convenience.
How Does No-Cost EMI Work (and What Should Your Software Show)?
No-cost EMI is not interest-free. The lender still charges interest, but the seller or brand offsets it with a discount, so the customer repays roughly the sticker price in installments. In 2013, the RBI said zero-percent interest is not a real thing, and warned that interest was often hidden inside processing fees (see this explainer and Business Today’s breakdown).
Here is a simple illustration with assumed numbers, not a live offer:
| Item | Amount (illustrative) |
| Product price | βΉ60,000 |
| Interest the lender would charge over 3 months (assumed) | βΉ1,500 |
| Upfront discount offsetting that interest | β βΉ1,500 |
| Amount the customer finances | βΉ58,500 |
| Total repaid in installments (principal + interest) | βΉ60,000 |
| GST at 18% on the interest component | + βΉ270 |
| Processing fee, if any | Varies by lender |
The customer ends up paying about βΉ60,000 plus βΉ270 in GST, and gives up the discount they’d get for paying in full. GST at 18% applies to the interest portion on card EMI conversions, and fees vary by bank, as explained by ClearTax and CRIF High Mark. Check the actual terms of each scheme.
This is where software earns its keep. Your invoice and EMI schedule should show the discount, interest, GST and fees as separate lines. Customers trust shops that show the math. And since the RBI’s original concern was disguised charges, clear itemisation protects you too.
Which RBI and Data Rules Affect EMI Sales in India?
Three rule sets matter most: the RBI’s digital lending directions (if you work with lenders), the RBI’s e-mandate framework (if you auto-debit), and India’s data protection law (for customer records). This is general information, not legal advice. Confirm your situation with a chartered accountant or lawyer.
RBI Digital Lending Directions, 2025
The RBI issued consolidated Digital Lending Directions on 8 May 2025, replacing earlier guidelines. They bind regulated lenders such as banks and NBFCs. Among other things, a loan offer must show the lender’s name, amount, tenor, annual percentage rate (APR), repayment terms and a link to the Key Facts Statement, and borrowers get a cooling-off period to exit (summary by Argus Partners).
What this means for you: if your software passes customers to lenders, confirm the lender is a regulated entity and that your screens display those disclosures instead of hiding them.
RBI e-mandate framework for auto-debit
If you collect EMIs through card or UPI auto-debit, the RBI’s consolidated e-mandate rules apply. As reported by IANS in April 2026, a mandate activates only after an additional authentication factor, recurring payments above βΉ15,000 need extra authentication, and customers can’t be charged for using the e-mandate facility. A Zoho Payments summary adds that customers must be notified before a debit and can withdraw the mandate. Your software should support all of that, not work around it.
Digital Personal Data Protection (DPDP) Act and Rules
EMI software stores names, phone numbers, addresses and ID details, which makes you a data fiduciary under the DPDP regime. The government notified the DPDP Rules in November 2025, with obligations phasing in over 18 months, so full compliance is expected around May 2027 (AZB & Partners timeline). The government’s PIB explainer lists penalties of up to βΉ250 crore for failing to maintain reasonable security safeguards.
Ask every vendor how they handle consent notices, data retention, access controls and breach reporting. A vendor who can’t answer clearly is a risk to your business, not just to theirs.
In-House EMI, Bank EMI or BNPL: Which Should You Offer?
Offer bank or NBFC-backed EMI for high-ticket items, in-house plans only for trusted repeat customers, and treat BNPL as a convenience add-on. The right mix depends on who carries the credit risk.
| Model | Who carries the credit risk | Best for | Watch out for |
| In-house installments | You | Small tickets, known repeat customers | Cash-flow strain and recovery effort |
| Bank or NBFC EMI | The lender | Phones, appliances, high-value goods | Merchant discount costs; lender approval can fail |
| Credit card EMI | The card issuer | Customers who already hold cards | Processing fee and GST on interest |
| Buy now, pay later | The provider (depends on the agreement) | Quick, smaller purchases | Check the provider’s regulatory status |
My view: most small retailers should start with lender-backed EMI and add in-house plans slowly. Carrying other people’s credit risk on your own balance sheet is how a good sales month turns into a bad collections quarter.
How Do You Choose the Right EMI Sales Software?
Choose by testing, not by brochure: run ten real customer accounts through a demo and see whether the software makes them simpler. Follow these steps.
- Define your model.Β In-house plans, lender integration, or both? This decides which tools are even relevant.
- Write your must-haves.Β Use the feature table above and cross out what you don’t need.
- Demo with your own data.Β Ten customers, one part-payment, one early closure, one overdue account.
- Check data ownership.Β Can you export everything, in a usable format, whenever you want?
- Test support.Β Call or message them during your busiest hour. Note the response time and language.
- Compare total cost.Β Include onboarding, extra users and message credits, not just the headline price.
Red flags: no data export, no audit trail, vague hosting details, promises of “zero defaults,” and no GST-compliant invoices.
How Does Realkeeper Handle EMI Sales?
Realkeeper’s EMI Sales Management lets you sell products on EMI with installment schedules, payment reminders, outstanding tracking and payment history. Its homepage also lists penalty calculation for late payments.
It is one module inside a wider cloud system. According to Realkeeper’s mobile shop billing page, the same platform covers GST billing, inventory, IMEI and serial-number tracking, barcode billing, customer dues, and invoices and payment reminders over WhatsApp. Here is what the site lists for EMI-related work:
- Installment schedules and payment historyΒ for each EMI sale
- Payment reminders,Β including reminders sent on WhatsApp
- Outstanding tracking:Β customer dues, received payments and pending amounts
- Penalty calculationΒ for overdue installments
- Cloud accessΒ from a computer, laptop, tablet or mobile, plus an Android app
- Excel importΒ of master data, so you don’t retype existing customers
Who is it for? The mobile-shop page targets mobile phone stores, electronics shops and electrical equipment businesses. The wider cloud ERP also serves wholesalers, manufacturers and service businesses. If you want to take payments online as well, see its payment collection and WhatsApp marketing features.
Realkeeper says you can go live in a day, with free implementation, training and chat support. Treat that as a claim to test, not a guarantee. The public pages don’t spell out details such as part-payment handling, early closure or penalty rules, so ask for them in a demo. Use the checklist table above and run your ten real accounts through it. You can start free or reach the team through the contact page. Compare it with other tools on its comparison page too, and apply the same questions to every vendor.
How Much Does EMI Sales Software Cost?
Prices vary widely by vendor and plan, so don’t trust any number in a blog post, including this one. Instead, learn the three common pricing models and ask for a written quote.
- Subscription,Β billed monthly or yearly per user, branch or business.
- Usage-based,Β charged per active account or per transaction.
- One-time licenceΒ with an annual maintenance fee.
Ask about the extras that inflate bills: SMS and WhatsApp credits, data migration, training, additional users and premium support. Realkeeper lists its plans on its pricing page. Check it for current figures, since prices change.
How Can You Roll Out EMI Software in 30 Days?
- Week 1: clean your data.Β Gather every open account, due date and amount received. Fix duplicates and missing phone numbers.
- Week 2: import and configure.Β Load customers, set up schedules, fees and reminder templates.
- Week 3: train and pilot.Β Give two staff members real accounts. Compare the software’s dues against your old register.
- Week 4: go live.Β Switch all new EMI sales to the software, and retire the old register for new entries.
Some vendors move faster. Realkeeper’s site claims a one-day go-live with free training. Even then, I’d still run the pilot week, because your data is the slow part, not the software.
What Mistakes Should You Avoid With EMI Sales?
- Recording what’s due but not what’s been collected, which makes your overdue list wrong.
- Blending interest and processing fee into one number, which invites disputes.
- Sending reminders only after a payment is missed instead of a few days before.
- Skipping ID and address capture at sale, when collecting it is easiest.
- Giving every staff member admin rights.
- Never testing your backup until you need it.
EMI Sales Software FAQs
What is EMI sales software?
EMI sales software is a tool that records installment sales, tracks each customer’s payment schedule and automates reminders and collections. It gives a retailer one accurate ledger of who owes what and when, replacing paper registers and spreadsheets.
Is no-cost EMI really free?
No. The lender still charges interest, which is usually offset by a discount from the seller or brand. Customers typically pay 18% GST on the interest component, may pay a processing fee, and give up any discount they’d get for paying in full.
Can a small shop use EMI sales software?
Yes. A single-counter shop benefits from reminders and a clean ledger as much as a chain does. Look for pricing based on users or active accounts rather than branches, so you only pay for what you use.
Do I need a licence to offer EMI in my shop?
It depends on how the plan is structured. Selling goods in installments is different from lending money as a business, and lending is regulated. Speak to a chartered accountant or lawyer before launching any in-house plan.
How does EMI software reduce missed payments?
It sends reminders before the due date, shows staff exactly which accounts are overdue, and makes paying easy through UPI or auto-debit. Early, clear communication prevents most late payments.
